How to use PassXYZ
This brief introduction is meant for those who are the new users of PassXYZ. If you are a KeePass veteran, you may skip this article and read another one called In-depth understanding of PassXYZ on the PassXYZ website which can be found by clicking Learn More in menu item Help.
PassXYZ is similar to other password management software. It is quite easy to use. After the installation of PassXYZ, the first screen you can see when you launch it, is to setup a username and password. Please be reminded that the password here is the master password of the database. If you forget it, nobody can access the database anymore.
After setup of the username and password, you will enter the main page where you can record all your personal information. Well, how to start using it? On the top-right hand side of the screen, you will see three icons. You must be able to recognize that they are Search, Add and Logout, right?
Now, you can start entering all your personal information that you want PassXYZ to remember for you, such as bank accounts, IC, Passport, your favorite network accounts or any other personal documents. Let’s use ID card as an example to explain how to add an item in PassXYZ. First, click on the icon +, you will get a list of four choices containing Group, Entry, Notes and Using Templates. Well, there is no choice for ID card, what should I do? Never mind, you may go to Using Templates to search for it. Most of the frequently-used items have been typically made as templates in PassXYZ. Even there is no choice that you are looking for, you still have three ways to enter your item. The first way is the laziest one. All the items that you cannot find in the templates, you may choose Entry in the list which is the general item for everything. Just key in all the information that you need, and save them thereafter. The Entry is the standard choice from KeePass. The second way is trying to find the template you want on PassXYZ website. There will be more templates there. The third choice is to create an item in templates on your own if you are not satisfied with the above. Once you know how to do that, you will be a master of PassXYZ.
We have introduced Entry and Using Templates as above. You may ask, what are Group and Notes? Group is actually a folder. For example, you may create a Group named Banks, and then enter Banks to choose Entry to key in the information of your bank account. You may wish to create separate entries for your different bank accounts under the Banks group so that they can be well-managed for your future use. As for the Notes, it is the same as what it means here. It is just a tool for you to record anything, such as a small piece of article or a paragraph of words. For example, this article is a Notes. In PassXYZ, you can use Markdown syntax to format your notes. With Markdown support, you can have a better view of plain text.
Let’s come back to the ID card to be added. You should be able to find ID card in the built-in templates. You can choose this template and fill in all the necessary information. Please do remember to save it after finishing filling in. Other than the literal information listed in the templates, you can also attach scanned copies or photos of your documents as attachments. As such, next time when you are out on some important errand and need any of your documents urgently, you may easily share a copy of your document from PassXYZ using instant messaging tool to anyone you need.
